[OLD] We need you! Opt-in to transfer your discussion boards data

16/09/24 MOD NOTE: This email hasn't been sent out yet as we're still sorting out the details with our legal team. Once we know when you need to opt-in, we'll update this thread.

Hey everyone,

If you haven't heard the news yet, The Mix and Mental Health Innovations are merging to become one charity! You can read all about it here.

As part of the merger, we've been working behind the scenes to make sure your data stays safe and that we comply with all the necessary laws and policies. Currently, your data — like your account info, posts, ranks and threads from the discussion boards — is hosted in Canada, since that’s where our tech provider for the discussion boards is based.

With the merger, we need you to opt-in and let us know if you're happy for us to move your data securely from Canada so it's hosted closer to our UK base under UK/EU data laws.

We'll need your help soon!

We'll be sending emails early next week for you to opt-in and give your consent for the transfer of your data. With your consent, we'll be able to transfer your accounts, posts, threads and rankings.

For those who don't opt-in, your posts will be anonymised and your account won't be transferred over.

We have a tight deadline to work towards! We'll need everyone to opt-in by Sunday 15th September.

    Please send more than one email for this and keep pestering us to do it before that date. Very short time in case someone forgets. If someone forgets can they make new account?

    It doesn’t sound like it @Rose113. It sounds like they’re maybe moving platform, but the reason we’re transferring data is so all our posts and accounts can stay active.

    Wait actually @TheMix is the platform changing? I think I made an assumption there. Are we moving off vanilla? Are the boards going to look different?

    We had to do this a few years ago when the boards first migrated over to this platform, but it was done months in advance, hence why I’m saying plz send more than one email and keep pestering us. It could be very easily missed if it’s just one. But I’m curious if the boards are gonna look different.

    I was also going to question this too as I wonder if the layout of this website will change. I'll have to remind myself to email the mix to transfer all of my data over to them because I tend to be very forgetful sometimes.

    What happens to members who are sporadically active? Will they just come back and their accounts are gone? I’m so confused and I’m super busy rn so I may well forget to sort it myself

    Hey everyone!

    Just wanted to pop in to clarify that we are not moving to a new platform and there will be no changes to how the community boards look. We understand that this transition feels frustrating and disruptive, and we definitely wish we had more time to make the data move.

    Because of the merger, we had a limited timeframe to complete the data migration. We're working hard to make sure it's a smooth process, but the deadline is out of our control and letting you know today was part of making sure you all have enough time to opt-in.

    We are happy to send a series of emails throughout the week to remind you on more than one occasion. Please keep an eye on your inbox for important updates next week :star:

    I know change is so hard and these kind of things can feel scary but we are here to help you if you have any more questions <3 Thanks for being the best!

    Hey @independent_ we're still waiting for details on the message we need to email out but it should hopefully be ready today. It's all been a bit delayed here!

    We've been allowed to extend the time everyone needs to opt-in by, so hopefully it should be by end of the day on Tuesday 17th September. We'll confirm more details as soon as we hear more :)

    Maybe somethings don't get better, but we do. We get stronger. We learn to live with our situations as messy and ugly as they are. We fix what we can and we adapt to what we can't. Maybe some of us will never fully be okay, but at least we're here. We're still trying. We're doing the best we can. That's worth celebrating too ❤

    I have had a strange email now. It’s super super confusing. It’s saying like because I receive marketing from the mix I have to fill out a form but then there’s a bit below it about replying to the email as well. I’ve done both but I don’t understand what it means or if that’s the email we’re getting?

    Thanks for letting us know @independent_. You're right, this is if you'd like your details for marketing emails to be transferred over. It's all a bit confusing as different teams need to ask for permission to transfer data! We're sending emails to volunteers, community members and then those who are subscribed to our marketing emails.

    Doing both sounds like a good approach to be kept on the system :)

    The community email for your accounts here will take a bit longer and we'll have everything ready by tomorrow hopefully. Thank you all for your patience! :)

    The consent form in the email asks for a first and second name. Like a first name and surname?

    I put my first and last name in the youth voice one and the marketing one. Should we do that for the boards one @TheMix?

    I asked The Mix the same question but didnt really get an answer. I know I never gave them my second name, but cant remember if I ever gave my last name (maybe when I was first signing up?)

    I don’t mind putting it in as they probably already know it from youth voice, but for the community one i wonder if it’s usernames.

    Hey everyone!

    We've found out you don't have to share your first name and last name, just sharing your email address is fine for the community opt-in email. You can also do the same for the marketing emails you've received if you don't wish to share your name. You can also just use your initials if you wish too :)

    For the volunteering emails, sharing your first name and last name would be great and this is information you would have already shared when signing up to be a volunteer.

    We've had confirmation the community opt-in email will now be sent out to you all on Monday. We're working with the teams here at The Mix HQ to make sure we've got as much time as possible for you all to opt-in by. We'll make sure to keep updating you as soon as we hear more :)

    Good question @Chloe234 - we're actually waiting for the email to be reviewed by our legal team to make sure it's worded in the proper way. When we have that finalised, we'll let y'all know.

    So no email for now - I'll update the main post to avoid any confusion :)
